In bids with large price forms for goods to be delivered, a lot of time will be spent on item picking. In Cobrief, you can upload your company's product register and let Cobrief AI do the item picking for you
We also allow you to upload the following information to give the AI a better basis for its decisions:
An overview of environmental certifications for the products, so the AI can select products based on certificates, and fill out this information in the price forms.
An overview of additional information for the products, typically extended descriptions, features, etc
NB: Both environmental info and other supplementary information can be entered directly into the product sheet. In that case, it is not necessary to upload separate sheets for this.
Get Started
Start by uploading the product register, extra info, and an eventual overview of environmental labels for the products. You do this from "My AI" β "Price Sheet Filling" β "Select file".
Note: All products must have a unique ID in the product sheet, extra info, and certifications documents. We recommend naming the unique ID "Item Number" or "Article Number," so it is easy for the AI to know which products should be linked.
Note: It is wise to only include information relevant to item picking in the files you upload β unrelated information can become noise and confuse the AI.
Select the correct category for each file and press save.
Note: Cobrief will only use the newest certification sheet, extra info, and product register you have uploaded.
β
Now Cobrief will analyze and categorize the products so they can be used for automatic filling of the price form. This can take up to one minute per thousand products, and you can see the progress by looking at the "Number of products" in the table.
When the products are finished analyzing, you can fill out the price sheet from the Bid room. Click on "+New..." and select "Fill out price sheet".
From here, you can choose the price sheet directly from the bid basis, or click "Other" in the dropdown menu and upload your own document.
Own Instructions
You can write your own instructions if you want to customize how we fill out the price form. Cobrief AI will by default try to pick the cheapest items that also meet all requirements (including environmental requirements), but you can overwrite instructions or give other priorities here.
Instructions for filling out
As a rule, each buyer has certain requirements for how the price form should be filled out, as well as evaluation criteria used to select the winning bid. It is useful to inform about such requirements, criteria, and other guidelines. You may also want to do multiple fillings, e.g., one that only focuses on environmental labels and one that only tries to choose the cheapest products β you can also request this in your own instructions.
You can write as many requirements and instructions as you want, but be sure to be concrete and unambiguous in your instructions.
Here are some examples of instructions that can be included:
Always prioritize the item with the most environmental labels of ISO14024 Type I.
Do not fill out rows if there are no alternatives with environmental labeling.
Prioritize items from manufacturers A, B, and C over items from D.
The requirement for the number of items in a package is only guiding; if we offer other packages that have a lower unit price, choose those items instead.
You can choose items with small deviations in size, weight, color, or material, if it leads to a better price.
When you have clicked "Fill out and save in bid," Cobrief AI will figure out what should be filled out and fill it out with information from the product register. The file will automatically download when the price form is finished filling out, and it will be saved directly in the bid, even if you close the dialogue while the file is being filled out.
You can easily generate multiple drafts with different instructions and analyze the drafts yourself in Excel for further processing.
Standard Instructions
It is possible to create a set of standard instructions for the entire workspace. These instructions will then be included as standard for every new price filling, and can be customized for each picking if desired. It is wise to include context and information here that is repeated for most of the fillings you do, for example:
Always use the column "Item Number" from our product list when you are filling out an item number.
Brand X is being discontinued, and choose products with brand Y instead.
Prioritize the environmental label Nordic Swan Ecolabel if there are alternatives with this that meet the customer's requirements.
Always choose products with brand X if they meet the customer's requirements.
βNB!
Is the AI not filling out the columns you want? Try adding "(for filling)" to the column names you want filled out. For example, if you want the column "Product Name" filled out, change it to "Product Name (for filling)".
Also, note that the AI does not create new columns, so if there is something you want an answer to, a column for it must already exist.
